Organizational structure of the administrative division:

According to the organizational structure, the Administrative Division consists of the following units:

Human Resources Unit:

This unit is concerned with the affairs of the college’s members and includes the affairs of teaching staff and personnel affairs (technicians and administrators). This unit undertakes the completion of all transactions related to the college’s members, including granting the annual bonus (annual increase) to the members after verifying the conditions that must be met from the passage of the legal period, the existence of a performance evaluation, and the approval of each of the following: The immediate superior and the superior superior receive the evaluation form and there are no disciplinary penalties that delay the granting of the annual bonus. This unit also works to prepare lists of those deserving of promotion among the college’s teaching staff and employees, according to entitlement. It is also specialized in auditing cases of granting priority and the availability of the necessary legal conditions.

Recruitment and Staffing Unit:

It is concerned with all staffing matters, including the number of members and changes that occur as a result of transfer, death, and retirement, preparing a monthly report on the status of the college’s staffing, and noting promotion cases for college teachers.

National Retirement Unit:

It is concerned with completing retirement transactions for college employees in cases of referral to retirement upon reaching the legal age, as well as retirement cases based on the desire of a university service employee or a technical or administrative employee, following up on the retirement transactions of deceased persons, and preparing a monthly report on the college’s retirement program.

Files and personal data unit:

It is concerned with organizing the personal file of each member, ensuring the availability of all required documents, and working to arrange and prepare them in a way that ensures easy reference to them, taking into account the electronic and paper archiving of each file. It also prevents access to the files except by the competent employee and works to prepare a service summary for all staff according to the purposes of promotion, promotion, retirement or study. It also undertakes the calculation of the accumulated leaves of employees referred for retirement.

Outgoing, incoming and replication unit:

It is concerned with the process of issuing official books related to the college’s official correspondence with other parties, as well as the process of receiving the college’s official mail from the university presidency and other parties and recording it in an official record in preparation for distributing it to the departments, divisions, and units of the college after informing the college administration of it and directing it according to specialization.

Maintenance and transportation unit:

It is concerned with the maintenance and maintenance of the college buildings, including gardens, electricity, appliances, and furniture in various parts of the college, in addition to following up on the renovations and maintenance carried out in the college by other parties. As well as carrying out periodic maintenance of the college’s mechanisms, as well as the generators used to supply electrical energy, to ensure the smooth flow of work. While following up on the transfer of employees across the college’s lines, as well as following up on the status of the rest of the mechanisms.

Administrative Services Unit:

It is concerned with providing cleaning supplies for the college buildings, following up on daily cleanings, transporting waste to sanitary landfills, and delivering water to all buildings and laboratories in the college.

Information and Civil Defense Unit:

Its duties are to prepare civil defense supplies, including means of extinguishing fires, by providing fire alarms, fire extinguishers, and other supplies, in addition to following up on college inquiries to ensure that the required measures are taken in organizing the entry and departure process to the college in accordance with the instructions and directives issued by the ministry and the university.

Division objectives:

  1. Completing all transactions related to the affairs of teachers and employees.
  2. Completing all transactions related to college administration.
  3. Improving the level of management in a way that suits the level of quality.
  4. Providing the best services to the segment of intellectuals in higher education.


Tasks and duties:

  1. Carrying out all administrative matters related to the college, conducting official correspondence with other parties regarding the work of the college, and working as a communication channel between the college and its various departments, divisions, and units with the university’s formations and other departments, managing the college’s internal and external mail, issuing administrative orders, and maintaining the college’s official books and correspondence.
  2. Using electronic management means to complete correspondence with the university presidency and its formations and begin the transition to electronic interaction between departments, divisions and units of the college and reduce paper dealing.
  3. Ensure that we take into account the provisions of the Civil Service Law No. 24 of 1960 and its amendments when taking measures related to public service affairs regarding our employees, as well as the texts of the Unified Retirement Law No. 9 of 2014 and the Ministry of Higher Education and Scientific Research Law No. 40 of 1988 as amended and the rest of the laws, regulations and instructions related to the civil service and public service. 
  4. Following up on the completion of retirement transactions for college employees with the National Retirement Authority by completing the procedures that must be available, delivering the retirement transaction to the Retirement Department, and providing the Retirement Division at the University Presidency with all the changes occurring with regard to the college staff and within the National Retirement Authority program.
  5. To maintain the personal files of the college staff, document them electronically, conduct continuous updating of them, and follow up on the validity of the issuance of academic documents and certificates.


Services provided by the Administrative Division:

  1. Completing all transactions related to teachers and employees (appointment - promotion - academic promotion - modifying salary - adding service - annual bonus).
  2. Receiving mail from the university presidency (incoming) and delivering the college’s mail (outgoing).
